Privacy policy

EPF values and respects your privacy and the protection of your personal information. We may collect personal information from you through your use of our site, when you contact us, when your data is transferred to us by your member association (e.g. as an employee), or if we process your data in the course of our business. This Privacy Policy explains how we process your personal information. It also sets out your rights with respect to our processing of your personal information.

Personal data we collect about you

If you are an employee or representative of an EPF member association or a vendor that provides services to EPF, we may process personal information such as your name, job title, contact details, professional experience, and electronic signature.

If you contact us, we may process personal information such as your name and email address, or other information that is relevant to your enquiry. When you visit our website, we may also process certain data such as your IP address (for more information on our use of cookies, see below).

Purposes of the processing of your data

We may process your personal information for the following purposes:

  • in the context of EPF's functioning, including the organization and functioning of its Managing Committee, General Assembly and Committees;

  • to provide information regarding EPF's key contacts on our website;

  • to inform you about news from EPF and related matters;

  • to respond to your questions, requests or complaints;

  • to operate our website and to improve its technical and functional management;

  • to comply with our legal obligations and to enforce our legal rights.

For these activities, the processing of your personal information is based, as the case may be, on our legitimate interests (e.g., EPF's functioning, keeping members informed), your consent, the performance of a contract, or a legal obligation imposed upon us.

Your data are no longer held by us than is necessary to achieve the purpose(s) for which they were collected or as long as it is required by law or competent authority.

Use of cookies and scripts

A cookie is a simple small file that is sent along with pages from our website and stored by your browser on the hard disk of your computer. When presenting information on, we use cookies that are necessary to ensure the proper and secure functioning of our website, and more specifically (i) a session identifier or "session ID" cookie to identify your session and to enable you to remain logged in, (ii) a cookie to remember that you were shown the cookie banner and clicked the "Continue" button, and (iii) a cookie to enable the use of the Google reCAPTCHA service:

By using our online contact form and the reCAPTCHA service from Google, your IP address and other data required by Google for the service (e.g. cookies that have been placed by Google over the last six months, how many mouse clicks you've made on the screen, the date, the language your browser is set to and any plug-ins you've installed on your browser) will be transmitted to Google (certified under the Privacy Shield Agreement) and analyzed in order to distinguish whether the request is made by a human or abusively by automated, mechanical processing (e.g. SPAM bots). We also offer the possibility to share pages using external links to social media such as Facebook, LinkedIn, and Twitter. We do not use Addthis or other tracking software when you use these social media buttons. However, by using these external links you are entering the respective social media-platforms which use cookies and scripts that hold your data. We recommend that you read their privacy policy and review your privacy settings there.

You can disable cookies by modifying your browser settings. Please note, however, that disabling cookies may influence the usability and your experience of the website.

Third parties

Except when required by law or competent authority, we do not disclose your personal data to third parties. However, in the context of the purposes listed above, trusted third party service providers we are working with, such as our IT provider, may have access to your personal data for the performance of their services. Also, as EPF is a members' association, in certain (limited) circumstances your data may be shared with other EPF member associations, in the context of EPF's functioning and activities.

Your rights

You have the right to request access to the personal data that we process about you and to correct these data. In certain circumstances, you also have the right to request a restriction of the processing of your personal data, or to have your personal data deleted.

You also have the right to object (i) to the processing of your personal data for direct marketing purposes and (ii) if substantiated and except if we can demonstrate compelling legal grounds for the processing, to the processing of your data based upon our legitimate interests.

If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. This does not affect the lawfulness of the processing based on your consent before your withdrawal.
